PAYMENT TERMS & RESERVATION PROCEDURES
These payment terms apply if the reservation is booked directly through us (Big Thunder Properties):
An advance payment in the amount of $800 is required at the time of booking in order to confirm your reservation. This payment is deducted from the base rate and the remaining balance of the rate, plus cleaning fee, admin fee, 11.5% tax & damage deposit is due 2 weeks prior to the arrival date if paid by credit card or due 3 weeks prior to the arrival date if paid by personal check (this includes cashier's checks & money orders).
We accept Visa, MC, Discover, Amex & personal checks. We do not charge a card processing fee on the initial $800 reservation payment if a credit card is used for the initial payment, however if you choose to pay the balance by credit card, an additional 4% credit card processing fee will be calculated on the balance and added to the final payment. There's no additional processing fee if all subsequent payments and/or the final payment is paid by check. Since we cannot accept a check for payment unless it's received a minimum 3 weeks prior to the arrival date, payment by credit card will be required if the reservation is made less than 3 weeks prior to the arrival date and the 4% card processing fee will apply. Because we do not accept post-dated checks, all checks will be processed upon receipt, regardless of the date. In an effort to maintain a simple accounting of all funds, we're not able to accept payments from multiple sources. A single credit card payment for the initial advance payment will be accepted and a single check or credit card payment for the remaining balance will be accepted. Payments cannot be split between individuals sharing the accommodations. The name listed on the Registration Form (see below) is the individual responsible for all payments and any damages.
The reservation cannot be confirmed and we're not able to "hold" the requested dates until the reservation payment has been paid by credit card or we have received a check. We recommend that the initial reservation payment be paid by credit card to insure an immediate confirmation. If you prefer to send a check for the initial reservation payment, we cannot guarantee that the rental period will still be available at the time we receive your check. If, during the time your check is in transit, another party has confirmed a reservation for the same rental period with a credit card, your check will be marked "VOID" and returned by mail.
These payment terms apply if the reservation is booked through the VRBO/HomeAway "Book It Now" online reservation system:
An advance payment equal to 50% of the total amount of the reservation (less the damage deposit) is required to confirm a reservation and the balance is due 3 weeks prior to the arrival date. The VRBO online reservation system is a third party reservation system, which we do not control and they offer certain benefits and protections for your reservation they say many travelers desire. We encourage you to visit their website read their specific terms and conditions and their reasoning for charging a substantial "service fee" on all reservations processed through their system.
The following terms apply to all reservations:
In addition to the advance payment requirement, our Registration Form must be completed and submitted to us. When you're ready to confirm a reservation, the Registration Form will be emailed to you and once completed, it should be returned to us by email. The Registration Form is a short form which provides your contact information (so we know where to send your confirmation) and an authorization to charge your credit card (if applicable). We NEVER, NEVER, NEVER and will NEVER, under any circumstances, provide your personal information to outside marketers or third parties.
Because your financial security is important to us, we do not provide a section on our Registration Form for your credit card number and ask that you provide that information directly to us by telephone (if the reservation is booked directly through us).
Once your reservation payment has been received, we'll email a confirmation to the email address provided on the Registration Form. Since your email address is the method used to provide your confirmations, we ask that you double check the accuracy of your email address prior to submitting the Registration Form to us. All confirmations are sent from debi@BigThunderProperties.com with the subject line "Reservation Confirmation". If you have a sophisticated spam filter on your email account, the confirmation may end up in your "spam/junk" file, so please be sure to check there as well as in your regular "inbox".
When your final payment has been received, a final confirmation will be emailed to you and this confirmation will contain all the information you'll need for your stay at our property.
A Damage Deposit is required for all rentals ($300- $500), and will be refunded within two weeks of your departure. All units are inspected and inventoried before and after each rental and a guideline of possible deductions can be found in our Rental Policies.
Check in is 4pm CST. Because the time between check-out and the next check-in is used for cleaning and to perform any necessary maintenance or repairs, we're not able to accommodate early arrivals or schedule late departures. You'll access the door key from a lockbox and the lockbox code is not activated until 4PM, so we ask that you plan your arrival accordingly.
All units are non-smoking & family friendly. In addition to smoking prohibited inside the units, smoking is not permitted on the outside balconies, decks, walkways or parking area. At properties with a pool, smoking is not permitted in the pool area.
We're sorry, but absolutely no pets are permitted.
Please note: We do not rent to vacationing college students, young adults under the age of 25 or chaperoned groups (there is no exception to this policy). One adult over the age of 25 is required for every 3 individuals under the age of 25 and all adults must be present during the entire stay. The person making the reservation must be over the age of 25 and must be present during the entire stay. We verify age, the number of people occupying the unit, and pet restrictions during each stay.
